Poblano Rentals ("we", "us", "our") operates a small portfolio of residential rental properties in Chicago, Illinois. This Privacy Policy describes what personal information we collect from owners, tenants, prospective tenants, contractors, and visitors to poblanorentals.com, how we use it, and the choices you have.

1. Information we collect

From owners and co-owners

• Name, email, phone number, and role within the LLC.
• Authentication credentials (email magic link, plus optional phone number for SMS access).

From tenants and prospective tenants

• Name, email, phone number, lease terms, and rent payment information collected through our property listings (Compass, Avail) or directly via signed lease agreements.
• Maintenance requests you submit via SMS, email, the resident portal, or in person, including any photos or descriptions you provide.

From contractors and vendors

• Name, trade, phone number, email, and notes related to scope of work.

Automatically collected

• Standard server logs (IP address, browser, timestamp) when you visit our website.
• SMS metadata — phone number, message timestamp, message content — when you exchange text messages with our automated assistant. This data is provided by our SMS gateway (Twilio) and stored in our private database.

2. How we use your information

• To respond to maintenance requests, lease inquiries, and operational questions.
• To send transactional SMS, email, or phone updates regarding your lease, your unit, or work scheduled at your building.
• To coordinate vendors and contractors performing work at our properties.
• To meet our legal obligations as a landlord, including notice requirements under the Chicago Residential Landlord and Tenant Ordinance (RLTO).
• To improve and operate our internal property-management software.

3. SMS-specific terms

When you provide your phone number to Poblano Rentals — on a lease, in a maintenance request, or by saving it on your owner profile — you consent to receive non-marketing operational SMS messages from us. These may include maintenance updates, contractor scheduling, rent reminders, and replies to your inbound questions.

• Opt-out: reply STOP to any of our SMS messages to immediately unsubscribe. Reply HELP for help.
• Message frequency: varies. Most users receive fewer than 5 messages per month.
• Carrier disclosure: message and data rates may apply, set by your wireless carrier.
• No marketing or promotional sharing: mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All SMS opt-in consent and the underlying mobile information is retained solely by Poblano Rentals.

4. How we share your information

We do not sell, rent, or trade your personal information. We share information only with:

• Service providers who help us run the business — for example, our SMS gateway (Twilio), database host (Supabase), and email service. These providers are contractually limited to processing data on our behalf.
• Contractors and vendors when necessary to complete work — e.g., we share the building address and your unit number with a plumber so they can fix your leak. We do not share your phone number or email with vendors unless you explicitly ask us to put you in direct contact.
• Legal authorities when required by law, such as in response to a valid subpoena.

5. Data retention

We retain personal information for as long as it's needed to operate the business and meet legal obligations. Lease records, maintenance histories, and tax-relevant data are typically retained for at least seven years. Upon written request from a former tenant or owner, we will delete identifying personal information that is not required by law.

6. Your rights

You may at any time:

• Ask what information we hold about you.
• Correct inaccurate information.
• Request deletion (subject to legal-retention exceptions).
• Withdraw consent for SMS communication via STOP.

7. Children's privacy

Our services are intended for adult tenants and owners. We do not knowingly collect personal information from children under 13.

8. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated by email to active owners and tenants.
